Sendsentry Privacy Policy
Effective Date: May 30, 2025
Welcome to Sendsentry! This Privacy Policy contains important information about your privacy and explains how we collect, use, share, and protect your personal information when you use our website and services (collectively, the “Service”). Please read this Policy alongside our Terms of Service. By using Sendsentry, you agree to both.
Privacy Policy Overview
At Sendsentry (“Sendsentry,” “we,” “us,” or “our”), protecting your privacy is a top priority. This Privacy Policy applies to all users of our Service worldwide, regardless of region or age. Sendsentry is operated by IT Global Services, LLC. By using our Service, you consent to the data collection and usage practices described here.
Data Collection
We collect various types of information to provide and improve our Service, including:
Personal Identifiers:
- Information such as your name, email address, and other contact details that you provide when creating an account, subscribing to newsletters, or contacting us. If you sign up via third-party OAuth providers (e.g., Google), we receive basic profile information from those providers, such as your name and email address.
Account Credentials:
- If you create a Sendsentry account directly (without OAuth), we collect your login credentials, such as your username and password. Passwords are securely stored in encrypted form; we do not have access to your plain-text password.
Payment Information:
- When you purchase or subscribe to a plan, our third-party payment processor (such as Stripe) collects your payment details (e.g., credit card number, billing address). We generally do not store your full financial information on our servers.
Technical and Usage Data:
- We automatically collect information about your device and how you use the Service. This includes your IP address, browser type, device type, operating system, referring URLs, pages viewed, links clicked, and timestamps of access. We also collect behavioral analytics about feature usage to improve your experience.
Cookies and Tracking Data:
- We use cookies, web beacons, and similar tracking technologies to collect information about your interactions with the Service. See the “Cookies and Tracking” section below for details.
Communications:
- If you contact us via support email, contact forms, or other channels, we collect the information you provide (e.g., your email and message content). We may keep records of correspondence for customer service purposes.
Children’s Privacy
Our Service is intended for general audiences and businesses. We do not knowingly collect personal data from children under the age of 13. If you are under 13, please do not provide any personal information.
If we learn that we have collected personal information from a child under 13 without parental consent, we will promptly delete that data. Parents or guardians who believe we may have information about a child under 13 should contact us at support@Sendsentry.com to request deletion.
Use of Information
We use the information we collect to operate, maintain, and improve our Service, including but not limited to:
Providing and Improving the Service:
- Your information enables us to create and manage your account, deliver the services you request (such as email infrastructure audits, continuous monitoring, and generating reports), and process transactions (including purchases of audits, subscriptions, or email validation credits). This helps us operate core functionalities and tailor features to your needs.
Enhancing Customer Experience:
- We analyze usage and behavioral data to better understand how you and other users interact with Sendsentry. This insight helps us improve our offerings, develop new features, personalize your experience, and optimize email deliverability tools. For example, analytics inform us about popular features or common issues, enabling us to refine the user interface and deliver relevant content or recommendations.
Communication:
- We may use your contact details (such as your email address) to send service-related messages, including purchase confirmations, invoices, technical or security notices, and administrative communications. Additionally, if you opt in, we may send newsletters or marketing emails about product updates, new features, and special offers. You can unsubscribe from marketing emails at any time via the unsubscribe link or by contacting support. Note that transactional emails related to your account or purchases cannot be unsubscribed from, as they are necessary for service provision.
Payments and Billing:
- We use payment details to process your subscription fees or one-time purchases. This involves sharing necessary information with our payment processor (Stripe) for billing, invoicing, and receipt management.
Compliance and Legal Obligations:
- We may process and retain your data to comply with laws, regulations, legal requests, or to enforce our agreements. For example, we may disclose information to meet tax requirements, prevent fraud, or uphold our Terms of Service.
Security and Fraud Prevention:
- Information such as IP addresses and user activity may be used to monitor for suspicious or fraudulent behavior, ensuring the security and integrity of our Service. This helps us detect abuse, enforce policies, and protect all users.
Use of Email Addresses Provided for Validation:
- By submitting email addresses or related data for validation, you grant Sendsentry and its affiliates an unrestricted, perpetual, irrevocable, royalty-free license to store, use, share, process, analyze, and distribute such data for any purpose, including improving services, marketing, product development, or other commercial uses. You affirm that you have the rights to provide this data and grant these rights.
We will not use your personal information for purposes inconsistent with those above without your consent. If we intend to process your data for new purposes, we will update this Privacy Policy or seek your consent as legally required.
Third-Party Sharing
Your privacy is important to us, and we only share your personal information in limited, controlled circumstances:
Service Providers and Affiliates:
- We share data with trusted third parties who perform services on our behalf, strictly for purposes described in this policy. These include:
Payment Processors:
Such as Stripe, which securely handles credit card transactions and billing. Their privacy policy governs their use of your payment data.
Analytics Providers:
- We use tools like Google Analytics to understand Service usage. These tools collect usage data and may receive your IP address but do not get your personal identifiers like name or email. Their data use is governed by their own privacy policies
Affiliated Companies:
- Sendsentry is operated by IT Global Services, LLC, which may access user data for business and support purposes under this Privacy Policy.
Hosting and IT Infrastructure Providers:
- Third-party hosting or cloud service providers may incidentally process data while hosting our application, all under strict confidentiality and security obligations.
Business Transactions:
- In case of mergers, acquisitions, reorganizations, or sales of assets, your personal information may be transferred to involved parties who will be bound to protect your data under this Privacy Policy. We will notify you if your data becomes subject to a different privacy policy.
Legal Requirements and Protection of Rights:
- We may disclose your information when required by law or in good faith belief that such action is necessary to comply with legal obligations, enforce our Terms, prevent fraud or security issues, or protect the rights and safety of Sendsentry, users, or the public. This may include sharing information with law enforcement or other organizations.
With Your Consent:
- When you explicitly consent to sharing your data for specific purposes, such as co-marketing promotions or integrations, we will share your information accordingly.
Importantly, we do not sell your personal data to unaffiliated third parties for their marketing or advertising. All third parties processing data on our behalf are contractually obligated to safeguard your information and use it solely for providing services to us.
Cookies and Tracking
Sendsentry uses cookies and similar tracking technologies to provide and enhance our Service:
Cookies:
- Cookies are small text files stored on your device that help us recognize you on return visits, keep you logged in, and remember your preferences. We use both:
- Session cookies that expire when you close your browser, and
- Persistent cookies that remain until deleted or expired.
- For example, cookies enable us to save your login session and track analytics such as which pages you visit.
Analytics and Performance Tracking:
- We use tools like Google Analytics, which may set their own cookies or identifiers, to collect data on how users interact with our website. This data—such as pages visited, time spent, and navigation patterns—helps us understand user behavior and improve the Service’s functionality and content. While Google Analytics may receive your IP address and device information, it generally provides us with aggregated data that does not personally identify you. Please refer to Google Analytics’ privacy policy for details on their data use.
Other Tracking Technologies:
- We may also use web beacons (pixel tags) embedded in HTML emails or on our site. These tiny images help us track whether an email was opened or if links were clicked, allowing us to measure the effectiveness of our communications and marketing efforts.
Cookie Choices:
- You can control or disable cookies through your browser settings. Most browsers accept cookies by default but allow you to block or delete them. Please note that disabling cookies may limit your ability to use some Service features, such as staying logged in or remembering preferences.
Do Not Track (DNT):
- Our Service does not currently respond to DNT signals. However, you can limit tracking by managing your cookie settings or opting out of Google Analytics tracking via their browser add-on, if available.
By using our Service, you consent to our use of cookies and tracking technologies as described. We provide cookie consent notices where required by law, allowing you to manage your preferences.
User Accounts and Authentication
When creating a Sendsentry account, you agree to provide accurate and current information. We offer two account creation methods:
Direct Sign-Up:
- Register directly with your email and a password.
OAuth Sign-In:
- Use third-party providers (such as Google) to sign in. We receive limited profile information like your name, email, and profile picture from the provider, but we never get your third-party password. Please review the privacy policies of your OAuth provider, as data sharing is governed by their terms.
Account Security and Responsibility
- You are responsible for keeping your login credentials confidential. Avoid sharing your password, and notify us immediately at support@Sendsentry.com if you suspect unauthorized access.
- You are accountable for all activity under your account. When using public or shared devices, always log out to protect your account.
Geographic Scope and Data Transfers
- We do not restrict account creation by region; the Service is available globally. Note that your data will be processed in the United States and potentially other countries where our infrastructure or service providers operate, always in compliance with this Privacy Policy and applicable laws.
Age Restrictions
- We do not knowingly permit registration of children under 13. Users under 18 must have parental or guardian involvement. By using the Service, you confirm that you are at least 13 years old (or the minimum age required by law in your jurisdiction to consent to data processing). We encourage guardians to supervise minors’ use of the Service.
Data Security
We prioritize the security of your personal information and implement reasonable safeguards:
Security Measures:
- Data transmitted between your browser and our servers is encrypted using HTTPS/TLS. Sensitive payment information is handled securely by our PCI-DSS-compliant payment processor, Stripe. Our systems use access controls, firewalls, and where possible, encryption or hashing (e.g., passwords are stored in hashed form) to protect stored data.
Access Controls:
- Only authorized employees and contractors who require access to personal data to perform their duties (such as customer support or technical staff) can access it. These individuals are bound by confidentiality agreements.
No Absolute Guarantee:
- Despite our security efforts, no system is completely secure. We cannot guarantee absolute protection against breaches or unauthorized access. Should a breach occur that poses significant risk to your rights, we will promptly notify you and relevant authorities as required by law.
Your Role in Security:
- Protect your account by using strong, unique passwords, keeping your credentials confidential, and logging out after each session—especially on shared or public devices.
Data Retention
We retain your personal information only as long as necessary to fulfill the purposes described in this Privacy Policy, or as required by law. Specifically:
Account Information:
- Kept while your account is active. If you delete your account or request deletion, we will remove or anonymize your personal data within a reasonable time, except for information required for legal or legitimate business reasons.
Transaction and Payment Records:
- Retained as needed to process payments and comply with financial reporting and audit obligations.
Analytics and Usage Data:
- May be kept in aggregate (non-identifiable) form for longer periods to assist with business analysis and service improvements.
Marketing Opt-Out Lists:
- If you unsubscribe from marketing emails, your contact information may be kept on a suppression list to honor your opt-out preference.
Legal Compliance and Disputes:
- Information may be retained as necessary to comply with legal obligations, resolve disputes, and enforce agreements. Retention periods vary depending on the law and nature of the obligation.
When personal data is no longer required, we securely delete or anonymize it so it can no longer be linked to you.
Your Rights and Choices
Depending on your location, you may have certain rights regarding your personal data. We aim to provide all users with control over their information. These rights may include:
Access and Correction:
- Access and update some account information via your Sendsentry account settings. For assistance, contact us.
Deletion:
- Request deletion of personal data we hold about you. Note that some data may need to be retained for legal or business reasons. To delete your account, please contact support.
Marketing Opt-Out:
- Unsubscribe anytime via links in marketing emails or by contacting us. Transactional or service-related emails will still be sent.
Cookie Preferences:
- Manage cookies through your browser settings. Some jurisdictions allow you to opt out of certain data collection types (e.g., analytics). We respect such choices in line with applicable laws.
Non-Discrimination:
- Exercising your privacy rights will not result in denial or reduction of service.
To exercise your rights or ask questions, contact us (see below). We may verify your identity to protect your data and will respond within legally required timeframes.
Refund Policy
(Please note: This Refund Policy is part of our Terms of Service. See that section for full details.)
Non-Consumable Products or Services:
- A 30-day refund guarantee applies to one-time services (e.g., email audits). Requests must be made within 30 days of purchase and, if approved, refunds are processed to the original payment method. This does not apply to subscriptions or consumables.
Subscriptions:
- Monthly or prepaid subscriptions are non-refundable after payment. You can cancel future renewals to avoid charges, but payments already made are not refunded except where legally required.
Consumable Products (e.g., Credits):
- Usage-based products like email validation credits are non-refundable after purchase, whether used or unused.
Legal Right of Withdrawal:
- If your jurisdiction provides a mandatory cancellation or “cooling-off” period (e.g., EU consumers with a 14-day right to cancel), we honor those rights where applicable.
For refund requests, contact support@Sendsentry.com with purchase details. Approved refunds are processed promptly, but may take several business days to appear on your statement.
Limitation of Liability (Privacy)
While we take privacy seriously, no online service is risk-free. By using Sendsentry, you agree that:
- Sendsentry, IT Global Services, LLC, and its officers, employees, and agents are not liable for indirect, incidental, special, or consequential damages related to privacy breaches or unauthorized data access, except where prohibited by law.
- We are not responsible for third-party actions, including hackers who may bypass security measures. We will notify affected users and authorities of significant breaches as required by law but cannot be held liable for resulting damages.
- In jurisdictions where certain damage exclusions are not allowed, liability is limited to actual, direct damages caused by our failure to comply with this policy or applicable laws, capped at the amount paid by you for the Service in the past 12 months (or a nominal amount if no payments were made).
These limitations supplement broader liability terms in our Terms of Service.

We may update this Privacy Policy to reflect changes in our practices, technologies, or legal requirements. When we do:
- The Effective Date at the top will be updated.
- For significant changes, we may notify you by email or prominent notices on our website or app.
Your continued use of Sendsentry after updates means you accept the changes. If you disagree, please stop using the Service and delete your account if applicable.
